Job Description:
VinRobotics, based in Hanoi, Vietnam, is pioneering cutting-edge actuator technologies for humanoid robots and collaborative robotic systems. We seek a highly organized and meticulous BOM & Technical Document Coordinator to manage comprehensive engineering documentation, product specifications, and Bill of Materials (BOM). In this role, you will directly impact product integrity, production readiness, and project efficiency by ensuring accurate, timely, and structured management of technical data and documentation throughout the product lifecycle.
Key Responsibilities:
Create, organize, and manage comprehensive engineering documentation, including Product Requirement Documents (PRDs), datasheets, assembly instructions, test protocols, and user manuals.
Ensure all technical documents are accurate, up-to-date, clearly structured, and easily accessible by internal stakeholders and production teams.
Develop, maintain, and manage detailed and accurate BOMs for complex actuator assemblies, including mechanical components, electronic parts, sensors, motors, and sub-assemblies.
Track engineering changes, revisions, and variant configurations within the BOM, ensuring accuracy, clarity, and consistency across versions.
Coordinate Engineering Change Requests (ECRs), Engineering Change Orders (ECOs), and product documentation updates.
Facilitate timely reviews, approvals, and notifications of documentation changes to all relevant departments and suppliers.
Work closely with engineering (mechanical, electrical, software), quality assurance, sourcing, and manufacturing teams to capture, update, and disseminate critical technical information.
Serve as the primary liaison for documentation accuracy and completeness across engineering and production departments.
Maintain a robust configuration management system, ensuring version control, traceability, and easy retrieval of design documents, drawings, and records.
Implement and manage best practices in document control, data integrity, and quality management compliance.
Ensure technical documentation aligns with internal quality standards, ISO requirements, and regulatory guidelines (e.g., CE, RoHS, EMC, REACH).
Support audits and reviews by maintaining comprehensive, structured, and traceable documentation archives.
Proactively identify opportunities for improving document management workflows, version control practices, and information accessibility.
Implement and enhance documentation processes to streamline information flow and improve project efficiency and quality.
Required Qualifications:
Bachelor’s degree in Engineering, Technical Writing, Quality Management, or related fields.
3+ years of experience managing engineering documentation, technical records, and BOMs, ideally within manufacturing, robotics, electronics, or high-tech industries.
Demonstrated proficiency in technical writing, documentation management, and BOM creation.
Expertise in managing engineering changes, configuration control, and product lifecycle management processes.
Proficiency in documentation software tools (Microsoft Excel, Google Sheets, Word, Adobe Acrobat, Atlassian Confluence, Notion, or equivalent documentation platforms).
Excellent organizational skills, attention to detail, and ability to manage complex documentation systems effectively.
Preferred Qualifications:
Direct experience managing technical documentation and BOMs for electromechanical systems, robotic assemblies, precision actuators, or similar products.
Familiarity with Product Lifecycle Management (PLM) or Product Data Management (PDM) software systems (e.g., SolidWorks PDM, Windchill, Arena, Siemens Teamcenter).
Ability to read and interpret engineering drawings, electrical schematics, mechanical CAD models, and technical datasheets.
Familiarity with engineering standards and regulatory compliance documentation (ISO standards, RoHS/REACH compliance, CE marking, EMC directives).
Bilingual proficiency in English and Vietnamese, with exceptional technical writing and communication skills in both languages.
Previous experience in roles involving close coordination with global supply chain teams, engineering, manufacturing, and quality departments.
